How we handle your information.
A short, plain account of what we collect, why, and the choices you have. Last updated 9 October 2026.
Who we are
Cotswold Country Club is the brand for Tormead House, Long Newnton, Tetbury, Gloucestershire. We are the controller of the personal data described here. You can contact us at bookings@cotswoldcountryclub.co.uk or on 07525 614127.
What we collect, and why
Enquiries and booking requests. If you send an enquiry or a booking request we collect your name, email address, phone number, the dates and number of guests, and anything you tell us in the notes. We use it to reply, to price and approve your stay, to take payment and to run your stay. Our legal basis is taking steps at your request before a contract, and performing that contract.
Payments. Payment details are never entered on this site. If we approve a booking we send a payment link or bank details separately, and payments are processed by our payment provider or your bank.
Analytics. With your consent only, we use Google Analytics to understand how the site is used, such as which pages are visited and how people reach us. It sets cookies and sends usage data to Google. Our legal basis is your consent, which you can withdraw at any time.
Site hosting. Our hosting provider processes technical data such as your IP address when you visit, to deliver the site and keep it secure.
Cookies
The only cookies we use are Google Analytics cookies (names beginning _ga). They are not set unless you click Accept on the cookie banner. We also store your cookie choice in your browser so that we do not ask again. To change your mind, use “Cookie settings” at the bottom of any page. Declining clears analytics cookies.
Who sees your data
Your booking request is emailed to us and stored with our form-handling and hosting provider (Netlify). We share data with others only where needed to run your stay, such as the on-site property manager, or where the law requires it. If you use Google Analytics, Google receives usage data, which may be transferred outside the UK under appropriate safeguards. We do not sell your data.
How long we keep it
We keep enquiry and booking details for as long as needed to deal with your request and any stay, and afterwards for as long as we are required to for accounting and legal purposes. Analytics data is kept according to our Google Analytics settings.
Your rights
Under UK data protection law you can ask to see the data we hold about you, to correct or delete it, to restrict or object to its use, and to receive a copy. Email us and we will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.
